Quality Management

Challenge

We aimed to make the current system more flexible. Before meeting Bimser we could manage documents through an application we used in our bank. With growing and developing organizational structure and branches the amount of documents increased in time. With the increase the system started to fall behind and we also aimed to make our system more flexible. We were seeking a solution that could carry the document load, send warning e-mails and facilitate our job with notifications and reminders. We could meet these needs with QDMS Integrated Management System. We currently have 1600 documents recorded in our system.

Solution

The process of finding the solution started with a detailed market research. We interviewed owners of different solutions and applications. The fact that banking frequently uses QDMS Integrated Management System and product references led us to opt for QDMS. During the selection process of QDMS several companies outside banking sector were interviewed for references. Upon interviews it was decided that the product would be beneficial to our bank.

Result

QDMS is actively used in 212 branches at different locations by our staff of 4,000!   QDMS Integrated Management System was implemented rather quickly. We had a grasp of the subject as we previously used tree system in our quality department. Bimser consultants were very helpful during and after product implementation phase. We quickly transferred our current documents to QDMS. We completed setup and implementation almost within a week. Being experienced and prepared on quality management thanks to our previous application quickened our pace. We have 2 employees managing QDMS in our bank. QDMS Integrated Management System is actively used by our staff of 4,000 and in branches at 212 different locations. QDMS Document Management System manages each quality process such as documentation, forms, contracts, procedures, etc. actively in internal and external locations. After the relevant department creates the document, the document is open for use upon approval processes. For example; forms and agreements used in our branches are published over QDMS Document Management System. Branch employees can access all electronic forms related to processes through QDMS. We are flexible in publishing documents with QDMS. Thanks to this flexibility, we created the system named “Document Ownership”. Units were authorized during quality management process within this system. Quality supervisor of each department has been assigned during quality management processes and updating and approval mechanisms were developed. Thus work load was diminished enabling more efficient use of our resources. We are planning to use Corrective and Preventive Actions (CAPA) module along with document reading and survey sending features of QDMS in the coming days.
