İZGAZ GDF SUEZ was founded in 1992 and in the beginning of 2009 it became a part of ENGIE Group, one of the leading energy companies of the world. Apart from Gebze and Karamürsel, it supplies gas to Kocaeli industry, the lifeblood of Turkish industry, along with 300,000 residential customers with 10 RMS-A, 111 customer stations, 85 region regulators and 3353 km natural gas network with its 240 employees.

İZGAZ GDF SUEZ has expanded its natural gas distribution network to villages of Kocaeli and has supplied natural gas to the highest elevation(1700 meters) in the world with construction works in Kartepe.

Quality Management

Challenge

Quality Management System activities are carried out in our company since 2004. During this period document and process management tracking was done using a different sytem. System could only provide keeping records and accessing documents within the company by the employees. However, we needed more in our company. We wanted to perform the activities below for an efficient Integrated Management System:

• Reinforcing communication and coordination between departments
• Observing the processes a document impacts while creating such document
• Measuring processes with an efficient performance system and defining authorities and responsibilities,
• Monitoring all activities in İzgaz from the start to the end,
• Informing departments on subjects that affect their activities before creating a job for them and receiving their opinions beforehand,
• Preventing the creation of a second document on a subject for which a document already exists in the system,
• Completing document approvals faster and more efficiently.

Our goal was to provide a system that had an easy to learn user interface for all employees; made them feel a part of Quality Management System; where they could easily and quickly monitor jobs that were assigned to them, that were late or expired regarding document management with warnings over a system; that they could easily access documents with smart devices when they were out on the field.
The reason we decided on Bimser Çözüm is QDMS and Ensemble software answers all our needs regarding all documentation and process management in relation to Quality Management System. Apart from that, other factors that led us to work with Bimser Çözüm are that products developed by Bimser Çözüm are being used by many leading companies of Turkey, that they have an experienced staff in solution and consultancy apart from software services and they are located in İzmit region.

Solution

We heard of Bimser Çözüm through recommendation of a colleague that uses the system for a long time. The greatest benefit of implementing the project for our company was;

• Reinforcing communication and coordination between departments, informing departments on subjects that affect their activities before creating a job for them and receiving their opinions, delivering all jobs that are assigned, delayed and expired through e-mail and thus facilitating and speeding up the follow up of jobs, transferring all approval process that were previously done using wet signature to the system processes saving on paper and creating an environment sensitive system.

Result

Experienced team of Bimser supported us with the most effective solution proposal within the shortest time during the whole process and still continues whenever we need.

In a short period of 3.5 months all trainings were received, documents transferred, in-company trainings were given and QDMS went live for all employees. Because İzgaz attaches importance to quality and documents each job and because it prefers to have all documents ready for QDMS before implementing QDMS the hardest part for us was document transfer. Another difficulty was to adapt the process of QDMS to the organization structure of İzgaz. Experienced team of Bimser supported us with the most effective solution proposal within the shortest time during the whole process and still continues whenever we need.
