Spend management
Challenge
With about 10 different production projects happening simultaneously in various different (global) locations at any given time it was almost impossible for Acun to centrally manage spend approvals and to control actual versus budgeted cost. Staff is always in the field or travelling, so approvals were done manual or not at all. This resulted in limited visibility into project costs and reduced profitability.
Solution
Acun used eBA workflow to create very simple to use and understand web forms for any spend requests company-wide, whether you are the producer and need to hire local extra’s during a taping in Argentina, or you work in the kitchen during a Survivor production shoot in the Dominican Republic and need to purchase bananas. Document management is used to centralize these forms along with their respective flow processes. Auto data integration was established between eBA and Acun’s ERP system, Logo.

Result
The ROI on eBA has surpassed Acun’s wildest expectations. The company estimates about $7.5M annual savings, or 15% of annual production costs. And after initial resistance from Acun staff to use the new system they have now fully embraced the platform and requests for other process automations through eBA have spiked.
Vendor management
Challenge
With about 10 different production projects happening simultaneously in various different (global) locations at any given time it was almost impossible for Acun to centrally control vendor management and purchase requests and approvals, leading to a messy vendor landscape and exposure to over-charges.
Solution
Acun used eBA workflow to create about a dozen purchasing forms classifying its vendors based on their status with Acun and through its flexible integration layer connected to Acun’s finance and procurement ERP.

Result
eBA has allowed Acun to better manage and control vendor-spend. Through the standardization and use of simple PO forms, it has achieved not only a simplification of the purchase order process but led to faster approvals and better insights (audit trails).
Contract management
Challenge
With about 10 different production projects happening simultaneously in various different (global) locations at any given time Acun deals with a great amount of vendors and contractors in different locations and languages. The creation, change and renewal of agreements was completely manual and paper-based with no process oversight.
Solution
Acun used eBA workflow and document management and activated the user interface in three languages (English,Spanish and Turkish) to streamline the creation, negotiation and updation of supplier and vendor contracts including automated approval workflows, audit trails of all contract changes, the ability to revert to previous versions, and automated alerts based on clauses, renewals and other compliance needs.

Employee hire
Challenge
As the fastest growing media company in Turkey Acun had to ramp-up internal staff significantly over the past 5 years. There was no formal system or process in place for approvals such as new-hire, salary etc. and no enforceable process for employee on-boarding procedures.
Solution
New-hire, salary approval, and onboarding check-list forms were created in eBA along with process and approval flows.
